ONTransfer.ca Coordinator

Location: Toronto, Ontario, Canada (virtual to start)

Type: Full-time

Compensation: $60,000 to $70,000 annually commensurate with experience

About the Employer

Established in 2011, the Ontario Council on Articulation and Transfer (ONCAT) was created to enhance academic pathways and reduce barriers for students looking to transfer among Ontario's publicly funded colleges, universities and Indigenous institutes. As a member organization, it works with those institutions to develop transfer credit policies and practices to ease student mobility.

About the Position

The ONTransfer.ca Coordinator will actively maintain data and the content of the program and course transfer guides for ONCAT’s credit transfer web portal (ONTransfer.ca). Working under the supervision of the ONTransfer.ca Services Manager, the Coordinator will support stakeholders and identify website and workflow enhancements to ensure the web portal meets the needs of all post-secondary institutions. By looking for trends and handling systemic and cyclical issues with data collection, the incumbent will support the continued enhancement of ONTransfer.ca initiatives. In addition to data coordination, the ONTransfer.ca Coordinator will support event coordination, transfer fairs and ONCAT’s Customer Relationship Management initiatives.

Key Responsibilities

Data Management and Reporting

  • Interfaces with all aspects of ONTransfer.ca including public-facing and back-end tools e.g. supports program pathway submission and approval process
  • Coordinates and integrates data collection from institutional partners in OnTransfer.ca systems
  • Supports ONTransfer.ca Services Manager with systematic reports to ensure data integrity and compliance
  • Supports data analyst duties; analyzes what is coming in and looks for trends in institutional submissions and ways to correct information
  • Supports continual process improvements including development of data enhancements to increase services and data availability based on internal and external analyzes along with feedback from various stakeholders
  • Supports development and maintains understanding of PSE transfer data best practices within and outside of jurisdiction
  • Generates systematic, cyclical and ad hoc reports from databases (e.g. C2C, program, etc.) to identify trends and insights and provides summaries to management team and external stakeholders e.g. Google Analytics for quarterly Ministry reports, ONCAT’s annual report, administrator reports, etc

Administration, Communications and Service Support

  • Supports communication/data integrity plans to support collections
  • Supports development and training/documentation/presentations involving ONTransfer.ca and its administrative subsystems
  • Cultivates and maintains good relationships with ONTransfer.ca Administrators, external IT vendors and developers
  • Supports and collaborates on various data-related service initiatives, including providing data and reporting for internal and external committees, that involves data from ONTransfer.ca and its various support systems
  • Supports event coordination, transfer events and committees as necessary
  • Collaborates and supports service processes in absence of ONTransfer.ca Service Manager e.g. attending booth fairs, answer stakeholder inquiries
  • Supports meetings and agendas as necessary e.g. keeps minutes   

Qualifications

  • A minimum of 4 years postsecondary education (PSE) in an Ontario institution; studies in social sciences, technology or business is an asset.
  • 3 to 5 years of work experience in a student service environment at a postsecondary institution.
  • Excellent MS Office skills including Word, Outlook (including email etiquette), Excel and Access.
  • Strong attention to detail and interpersonal skills.
  • Very good reading comprehension skills and verbal communication skills.
  • Demonstrated ability to work independently and work collaboratively in a team environment.
  • An ability to build and maintain effective working relationships at all levels of the organization.
  • Experience working in an environment with changing priorities and a high volume of time-sensitive stakeholder needs; call or student service centre experience is an asset.
  • Very good knowledge and understanding of relational reporting and how to query the database and generate ad hoc reports using MS Access, SQL (or equivalent system)
  • Demonstrates tact and diplomacy when working with internal and external stakeholders with diverse backgrounds.
  • Demonstrates ability to communicate complex technical information clearly and concisely to technical and non-technical people
  • French language proficiency would be considered an asset.

Working Environment

While Toronto continues to be under COVID-19 restrictions, all staff will work from home until further notice. When safe to return to work, staff will work in a small office environment and some travel may be required.
